Fuel Stock Reconciliation Midrand: Making Diesel Balance

Fuel stock reconciliation Midrand: depot manager checking diesel tank levels on a tablet beside a bulk tank

For most Midrand depots, mines and farms that keep diesel on site, fuel stock reconciliation is the monthly exercise that never quite works: deliveries in, litres dispensed out, and a closing stock figure that doesn’t match the tank. The gap gets written off as evaporation or a dipstick error, and nobody can say where it really went.

Why the numbers don’t balance

A reconciliation only works if three figures are measured, not estimated. Usually none of them are:

  • What came in. The delivery note shows what the supplier says was pumped, not what arrived in your tank.
  • What went out. Manual dispensing sheets miss fills, round numbers and get completed at the end of the shift.
  • What is left. A dipstick reading turned into litres with a rough tank chart can be out by hundreds of litres on a large tank.

When all three are approximate, a shortfall can be theft, a short delivery, a leak or simple arithmetic, and the month-end report can’t tell them apart.

Fuel stock reconciliation in Midrand, done with measured data

The fix is to measure each point automatically. Digit D-Bulk monitors bulk tanks and bowsers with live level readings, so a delivery shows as a measured rise in stock that can be checked against the supplier’s invoice the same day. Authorised dispensing ties every issue to a specific vehicle or driver, and theft and unauthorised-draw alerts flag stock that leaves the tank without a matching dispense. The stock reconciliation report then compares opening stock, deliveries, dispensing and closing stock for any period.

For sites around Midrand, from the Waterfall and Allandale logistics parks to quarries and farms further out on the Highveld, that turns month-end from an argument into a report.

Why it matters more for diesel refund claims

Operators who claim the SARS diesel refund need the same three figures. SARS expects records of purchases, storage and usage, and an automated check will spot a claim that doesn’t line up with what the supplier sold you. A reconciled tank is the foundation of a claim that survives an audit. Digit PRS also prepares and submits those claims, which is where Frans Kamffer’s background in cost control and transactional data analysis comes in.

Where to start

  • Calibrate the tank so level readings convert accurately to litres.
  • Record every delivery against its invoice on the day it arrives.
  • Stop anonymous dispensing: every litre out is issued to a vehicle or driver.
  • Reconcile weekly rather than monthly, so gaps are investigated while people remember.
